Make a workspace that stays understandable
An independent Notion planning workbook for project records, team knowledge and sensible sharing.
STEP 01
Separate reference from active work
Use reference pages for stable guidance and structured records for items that need an owner, status or date. Decide where the authoritative record lives before importing content. A collection of duplicated templates quickly becomes harder to maintain than a small, consistent system.
STEP 02
Choose a minimal record structure
For a project, start with name, owner, status, next action and review date. Add fields only when they support a real decision. Test the structure with three different projects so exceptions appear before the team commits to a large migration.
STEP 03
Review sharing deliberately
Identify which material belongs to the whole team, a smaller working group or a specific guest. Inspect actual access using the product’s sharing tools. A link copied into a page should not be assumed to grant or restrict access to every linked resource.
STEP 04
Plan upkeep and export
Name the owner of each important collection and schedule a review of stale pages. Test an export for the information you need to retain. Confirm current product behaviour in official help before designing a workflow around a particular view, automation or integration.
Choose the right next step
- Knowledge base: prioritise ownership, findability and review dates.
- Project tracker: make the next action and accountable person visible.
- External collaboration: test guest permissions with representative non-sensitive content.
Worked example
A small agency keeps one project database and one operating handbook. Each project points to the relevant handbook procedure instead of copying it. A monthly review catches unowned projects and expired instructions before a client handoff is missed.
